Room Scheduling Procedures
The Provost's Area Suites in Wesley W. Posvar Hall
The Office of the Provost regulates the use of two rooms in Wesley W. Posvar Hall. Rooms 2500 and 2501 may be reserved by first calling the Provost’s Office (412.624.4225) to check availability. To finalize the request, a reservation form must be submitted first to the Dean or Director of your department for their signature and then sent to the Provost office for review. Forms may be sent campus mail to 809 CL or faxed to (412) 624-4220 “Attn: Patty Irrgang”. There should be a form filled out for each day you request. Multiple dates should not be on one form. Complete information should be supplied about the event such as speakers and who will be invited. Confirmation will be mailed back to you once it has been approved. The lack of such confirmation from our office may be a cue that the form was never received.
2500
This room can accommodate both lecture and conference set up. Lectures have an 80 person capacity, while conference set up is limited to 60 people. 2500 can also be divided into two separate rooms – A&B. Both rooms ‘A’ and ‘B’ have a capacity of 40 people in lecture set up and 30 for conference set-up. Light food service is permitted in 2500 (no hot buffets or sits down meals). 2501 is used in conjunction with 2500 for all other food service. 2500 may be reserved without reserving 2501 if no food service is required.
2501
2501 is a formal reception area for food service which must be used in combination with 2500. This room cannot be reserved on its own.
Please take the following procedures into consideration:
- Use of the room is for University functions only; no baby showers, birthday parties, or other non-university events.
- Any last minute room changes/set-ups need to be addressed directly with Facilities Management at 412.624.8809.
- Keys may be picked up in 809 CL from Patty Irrgang the afternoon prior to the event. Please return the key the day of the event if the event concludes before 5:00 p.m. For events ending after 5:00 p.m., keys should be returned at 8:30 a.m. the following day.
- If your function includes food service, University Catering (412.648.2302) must be used and should be contacted directly.
- For audio-visual equipment and microphone set-up, contact Media Services at 412.648.7240. For video-conferencing, call Kerry Harrity at 412.624.6918.
- It is your responsibility to ensure that the rooms are locked securely following the event.
- Various other rooms may be reserved through the University Registrar's Room Scheduling Office. Call 412.624.7640 for more information.
